CONTINUOUS ENROLLMENT
What is Continuous Enrollment
Continuous Enrollment means that once your child is enrolled at Southwest Christian Academy, he or she will remain enrolled each year through graduation unless you choose to withdraw.
Families no longer need to complete annual re-enrollment forms or paperwork. Your child’s spot is automatically reserved for the next school year, giving you peace of mind and helping the school plan effectively.
Why We Use Continuous Enrollment
Continuous Enrollment benefits both families and the school.
For families, it means:
-
No yearly re-enrollment process
-
No repetitive forms
-
No risk of losing your child’s seat
-
A simpler, more predictable experience
For SCA, it allows us to:
-
Plan class sizes accurately
-
Hire and retain quality teachers
-
Prepare classrooms and resource
-
Serve families more efficiently
This system reflects our commitment to long-term partnership with our families.
How Continuous Enrollment Works
Southwest Christian Academy uses a simple, automatic process each year:
-
All currently enrolled students are considered returning students.
-
In January, families receive a reminder about Continuous Enrollment and upcoming deadlines.
-
Families who plan to return do not need to take any action.
-
Families who do not plan to return must complete the Opt-Out Form by February 15.
-
After February 15, the annual registration fee or deposit is drafted through FACTS.
-
Students who have not opted out are officially enrolled for the next school year.
No annual application is required for returning students.
Important Dates
-
January: Annual reminders and updated tuition information are shared
-
February 15: Opt-Out deadline and registration fee draft
-
Spring/Summer: Class schedules and preparations finalized
Families are encouraged to review all communications carefully during January and February.
Registration Fee / Deposit
Each year, a non-refundable registration fee is required to secure your student’s placement for the upcoming school year.
If a family does not submit the Opt-Out Form by February 15, the fee will be charged to the your credit or debit card on file and is considered final.
This fee allows SCA to prepare classrooms, materials, and staffing for the coming year.
Opting Out of Enrollment
If your student will not be returning for the next school year, you must complete the official Opt-Out Form by February 15.
The form is available on our website and takes only a few minutes to complete.
Submitting the form by the deadline:
-
Prevents the registration fee from being drafted
-
Releases your student’s seat for another family
-
Allows the school to plan accurately
After the deadline, the registration fee is non-refundable.
Withdrawing After the School Year Begins
Families who withdraw after the first day of school are responsible for tuition and fees incurred through the date of withdrawal, according to the school’s Tuition Policy.
We encourage families facing unexpected circumstances to contact the Business Office as soon as possible.
Unique Circumstances
Southwest Christian Academy understands that family situations may change unexpectedly.
In certain circumstances — such as relocation, educational needs, or financial hardship — the administration may review requests for exceptions on a case-by-case basis.
Families should contact the Admissions or Business Office to discuss their situation.
Keeping Your Information Updated
To ensure smooth communication and accurate records, families are responsible for keeping their information current in FACTS and RenWeb, including:
-
Address
-
Phone numbers
-
Email addresses
-
Emergency contacts
-
Medical information
Updates can be made at any time through your parent account.
